1. About Asteris AI

Asteris AI ("we", "us", "our") provides AI‑powered marketing assistants that create campaign content for our customers ("you", "your"). This policy explains what data we collect, why we collect it, and how you can exercise your rights. By using the service you agree to this policy and to any other terms referenced here.

2. Information We Collect

• Account details – name, business name, email address, phone number and password.
• Billing information – collected and processed securely by our payment provider Stripe.
• Marketing context – brand guidelines, target audiences, creative assets or other materials you choose to upload.
• Conversation data – transcripts and metadata from your chat sessions with our assistants.
• Usage data – IP address, device and browser type, time zone, pages viewed and actions taken.

We do not knowingly collect data from children under 13.

3. How We Use Your Information

• Provide, secure and maintain the Asteris AI platform.
• Generate tailored marketing content and recommendations.
• Improve our models: anonymised and aggregated chat data helps fine‑tune Asteris’s proprietary language model.
• Communicate with you about updates, features or required service messages.
• Comply with legal obligations and prevent fraud.

Our legal bases under EU/UK GDPR are contract performance, legitimate interest and, where required, your consent.

4. Sharing & Disclosure

We never sell your personal information. We only share it with:

1. Service providers (cloud hosting, LLM vendors, analytics, payment processors) bound by strict data‑processing agreements.
2. Public authorities when required by law or to defend legal claims.
3. Successor entities in the event of a merger, acquisition or restructuring (you will be notified in advance).

5. International Data Transfers

Your data may be processed in the United States or other countries. For transfers from the UK or European Economic Area we rely on recognised safeguards such as Standard Contractual Clauses.

6. Retention

• Account and billing records – retained while your account is active and for up to 7 years afterwards to meet tax and audit duties.
• Conversation data – kept for 24 months; thereafter fully anonymised for model training.
• Anonymised training sets – stored indefinitely.

7. Security

We protect data with encryption in transit and at rest, role‑based access controls and regular security testing. No method is 100 percent secure, but we work hard to keep your information safe.

8. Your Rights

Where the GDPR or UK GDPR applies, you may request:

• Access to your data
• Correction of inaccurate data
• Deletion (“right to be forgotten”)
• Restriction or objection to processing
• Data portability

9. Marketing Choices

You can opt out of marketing emails at any time by clicking “unsubscribe” or updating your in‑app preferences. Transactional messages will still be sent when necessary.

10. AI‑Generated Content

You own the marketing assets produced for you. Asteris AI makes no warranty that generated content will be error‑free or legally compliant; please review outputs before publishing.

11. Changes to This Policy

We will post any changes here and update the “Last updated” date. If the changes are significant we will notify you by email or in‑app message.
